other legally protected status.Job Summary:The Shipping and Office
Administrator's responsibilities include supporting the different
departments with shipping needs (Sales, Marketing, Service, Demand
Planning…).Furthermore, the S&O Administrator, supports the
Office with launching new products. Therefore, the OEM Manager
coordinates the customer workshops for physicians and supports in
organizing the training for the sales teams.The Shipping & Office
Administrator maintains office efficiency by planning and
implementing office systems, layouts, and equipment procurement.
He/she designs and implements office policies by establishing
standards and procedures; measuring results against standards;
making necessary adjustments.This position communicates effectively
with all parts involved. This communication should be at all times
conducted professionally and should promote the image of Lumibird
Medical as a whole.Ideal candidate will be hard-working,
professional, and able to undertake a variety of office support
tasks while working diligently under pressure. This person will be
comfortable working with a high degree of attention to details and
discretion as well as incorporating new and effective ways to
achieve better results. Qualified candidate must be highly
proficient in MS office suite including MS outlook & excel, with
superior organization and communication skills.Responsibilities:·
Schedule and process all inbound/outbound shipments using FedEx and
UPS.· Assisting with Picking and Packing daily shipments Oversee
daily logistics functions and interface with both internal/external
customers.· Processing shipments based on customer requirements,
production schedules, and inventory availability.· Prepare export
documentation for international movement of goods, (e.g. commercial
invoices, packing lists, bills of lading, SLIs, and COI's
Certificates of Origin) to meet export documentation requirements.·
Process data entry required through ERP system.· Maintain
procedures, stay current and ensure full compliance of the
regulations governing the movement of goods.· Track and trace the
movement of goods based on customer contractual requirements to
verify order fulfillment. Interface with Carriers and/or U.S.
Customs regarding issues and service provider failures.· Ensure
document retention per required standards, for all domestic,
international, licensed and license exempt shipments.· Work within
Export Compliance to apply the rules and regulations of U.S.
Customs & Border Protection (CBP), International Traffic in Arms
(ITAR), the Export Administration Regulations (EAR), and the
foreign Trade Regulations (FTR).· Monitor the return of temporary
import export activity in support of Demonstration Equipment,
DSP-61 &DSP-73 licenses, ATA Carnets, or license exemptions.·
Ability to interpret technical product descriptions or
specifications of products used in company business to be able to
relate those descriptions to fulfill HTS classification (Harmonized
Tariff Schedule) and ECCN classification responsibilities.·
Corrections or amendments to documentation when required.·
Collaborate and build relationships with carriers, agent
representatives, regarding air, import and export to strengthen
service competitiveness.· Manage carrier and forwarder partners
pickup and delivery schedules.· Establish and periodically review
departmental procedures per company ISO standards.· Continuously
improve the export process, focusing on ship software, document
preparation and order management.· Work closely with Inventory
Specialist to confirm stock· Key point of contact for all
inbound/outbound shipments.· Monitor shipments, costs, timelines,
and productivity.· Communicate with the sales team on any changes
to delivery schedules and/or product availability· Ensure timely
delivery of packages to customers· Assist in managing day-to-day
operations of the office· Monitor warehouse and office supplies –
place orders when necessary· Review weekly shipments for on-time
delivery credit· Prepare shipping accrual report for month end·
Communicates professionally and considerately with vendors and
clients via phone and email.· Perform other administrative duties

confidentialityRequirements and skills:· Bachelors Degree in
Logistics, Business Administration, Supply Chain Management or
equivalent experience in International Trade.· 5 years of
export/import compliance experience.· Ability to lift/move
materials up to the 100lb range, climb ladders, stand and walk
continuously· Must be able to use hands to reach, seize, hold, or
grasp objects.· Requires good vision.· Well-organized with a strong
communication approach.· Proficient in MS Office (Word, PowerPoint,
Excel), marketing computer software and online applications
(Salesforce, Online analytics, Trello, HubSpot).· Wish to work in a
challenging international mid average structure· Excellent
communication and people skills with the ability to adapt to new
