Job Description:
Volunteers of America National Services (VOANS) is seeking a
full-time Project Administrator to join their team in MN! The
Project Administrator will provide project support with all aspects
from initiation through closing of IT projects. Will coordinate
work performed by IT staff, internal and external partners and
provide administrative support for CITO. The Project Administrator
will report to the Chief Information and Technology Officer (CITO)
The Project Administrator will work on-site in the MN office and in
various VOANS locations. A hybrid work schedule may be an option.

Services is organized and operated to "advance, support, promote
and administer health, housing and supportive services" in pursuit
of the objectives of Volunteers of America. National Services

Essential Functions, Duties & Responsibilities: Projects
- Participate and provide Coordination for IT projects
- Coordinate logistics and materials for Webinars and conference
calls
- Provide reminders and updates to project team membersPolicy and
Procedure Documentation
- Work with IT department to develop appropriate policy and
procedure documentation.
- Makes suggestions or corrections in order to make a document
more clear and concise
- Creates the draft or framework of a document for the team to
use as their working document
- Supports continuous improvement efforts and the pursuit of
document excellence in the department
- Ensure documents are properly stored and retained per
established policies/procedures
- Organize, design, and develop documentation to support end user
needsProvides key support for CITO and IT Department
- Manages scheduling and makes changes as necessary to calendar
of CITO as needed
- Processes expense reimbursements each month (reconcile
corporate credit card statements); ensure invoices are paid on
time
- Coordinates teleconferences including preparation of
informational materials
- Ensures that various time sensitive documents are all completed
and delivered on time
- Edit correspondence, communications, presentations and other
documents as needed
- Liaise with internal staff at all levels as needed Required
Qualifications: Knowledge, Skills and Abilities
- Bachelor's Degree in English, communication, business
administration or technical writing preferred but all levels of
educational experience will be considered
- Must have strong writing, editing, and communication
skills
- Strong computer skills with experience in Microsoft Office -
Word, Excel, PowerPoint, Outlook and Zoom.
- Process - oriented; self-starter; must be proactive,
resourceful and able to anticipate actions as well as quick in
responding to emergency requests
- Use sound judgment, has good decision-making ability with
strong attention to detail
- Must be customer service oriented and have proven experience
with relationship building
- Must have organizational and project management skills as well
as excellent verbal and written communication skills
- Must be able to multi-task and be able to prioritize multiple
areas.
- Must have excellent interpersonal skills, project coordination
experience, and the ability to work well with all levels of
internal management and staff
- Must follow up on all assignments to assure deadlines are being
met
- Ability to work flexible hours.
